Special Project Administrator - Internal Medicine - 23394  Essential Functions: POSITION SUMMARY: Position provides administrative assistance and office management to the Chairman of the Department of Medicine, which requires considerable judgment, tact, creativity, initiative and ability to work with confidential data. Responds to questions and inquiries in the absence of the Chairman, according to organizational and departmental policies and procedures. ESSENTIAL FUNCTIONS: 1. Types and composes correspondence for the Chairman. Drafts appropriate memos, letters or e-mail responses, as necessary. 2. Answers Chairman?s incoming phone lines, places calls for Chairman, and maintains log of telephone callbacks. 3. Coordinates and provides administrative support for monthly Division Chiefs and Faculty Business meetings. 4. Coordinates special programs at the direction of the Chairman, such as visiting professors, faculty recruitment, faculty retreats, special dinners, etc. 5. Anticipates and prepares materials needed by Chairman for conferences, meetings, telephone calls, etc. 6. Serves as backup support in the management of the extremely busy appointment schedule for Chairman, frequently utilizing tact, discretion and independent judgement. 7. Coordinates with existing support staff to implement new procedures involving cross-training and other projects under development.  Preferred Qualifications: -Proficiency in Microsoft Word and other standard office equipment including dictation machine and multi-line telephone console required. Familiarity with Microsoft Excel and PowerPoint preferred. -Ability to use discretion and independent judgment, work under pressure, and adhere to short deadlines. -Ability to anticipate needs and exercise initiative in all aspects of office administration. -Ability to handle multiple situations with tact. -Excellent organizational skills and follow-through required. -Attention to detail and quality in all aspects of work performance required.  Required Qualifications: Equivalent of Associate?s Degree with 5+ years comparable administrative/secretarial experience required. Supervisory experience and/or experience in an academic medical setting preferred.  Applicant Special Instructions: Professional office environment with occasional pressure due to multiple calls, inquiries and deadlines.  Benefits: This position is eligible for full-time benefits.
